Member Attendance and Presentations

Member-owner presentations at meetings of the Board of Directors

  • Member-owners may attend regularly scheduled meetings as observers with the exception of items that are designated for Executive Session.
  • Board meeting dates will be published in the newsletter, and a sign at the Customer Service Desk will inform member-owners of any change in the schedule since the last publication.

Member-owner presentations to the Board of Directors

  • Member-owners who would like to address the Board shall first contact the Trusteeship Committee Chairperson or his/her designee from the Trusteeship Committee.
  • The Trusteeship Committee Chairperson or his/her designee will assist the member owner in the following ways:
    1. Listen well to the concern.
    2. Assist in resolving the concern if possible and help the member-owner define his/her needs and/or expectations.
    3. Clarify that operational concerns are within the purview of the General Manager versus the Board, thus referring the member back to the General Manager should an operational concern persist.
    4. Alert the Chair of the Board and the General Manager that the Trusteeship Committee Chairperson or his/her designee has had a conversation with a member-owner about concerns.
    5. Guide the member-owner who wishes to discuss a future direction and/or Co-op policy with the Board to use the following procedure:
      • Provide a written summary of the topic(s) to the Board Assistant ten days prior to the Board meeting for inclusion in the meeting materials.
      • Make a presentation at a Board meeting of no longer than ten minutes
      • Stay to answer clarifying questions of the Board. No discussion of the presentation will occur at the Board meeting with the member present.
      • Limit number of presentations to the Board by him/her on the same subject to once per calendar quarter.
  • The Board will listen to a maximum of two member-owner presentations at any one Board meeting.
